What is a collection?

A collection is a folder of files. These are usually photos in jpg format but can be a mixture of photos in different formats, video clips, PDF files, text documents or lots of other types of file.

Collections manage the settings of how the images can be accessed, how they are displayed online, the sales options, watermark and download options. You can set up your default settings so all collections are set up exactly how you want them from the get-go, but manage each setting individually within the collection.

How do I create a collection?

To create a collection go to My Images and click on Create New Collection. Using the tabs along the top of the page you can give your collection a name, set the display mode and sales settings.

Then, click the green "Upload" button in the top right-hand corner to begin uploading your files.

Can I make a sub-collection?

Yes, sub-collections can be used for dividing large collections into smaller, more manageable collections or chapters.

To create a sub-collection, go to My Images and find the collection you would like to create a sub-collection in. Click on the small plus icon on the right-hand side of the collection.

Alternatively, click on the name of the collection you would like to create a sub-collection in. Then, click on the "Subs" tab along the top of the page and click on the link "add new collection".

Give your sub-collection a name and then click on the small green "Upload" button in the top right-hand corner to begin uploading your files.

Can a sub-collection use a different price plan and access code?

Yes, however, the customer will get a much better experience if the parent collection and sub-collections use the same price plan, as they will only have to check out once.

To change which price plan a sub-collection uses, go to My Images and select the sub-collection you want to edit. Select the third tab, titled "Sales", along the top of the page and uncheck the box titled "Inherit all sales options from higher-level collection". You can then select which price plan you would like the sub-collection to use from the dropdown menu in the Price Plan section.

Alternatively, you can use item groups to customise which items or products are available for sales with certain files. Find out more about how to use item groups within your price plans here.

To change the access code of a sub-collection, go to My Images and select the sub-collection you want to edit. Select the second tab, titled "Access Rights", along the top of the page and uncheck the box titled "Inherit Access Policy and related settings from parent". You can then edit the access rights as well as the access code for the sub-collection.

Is there a limit to how many images I can show?

No, you can upload as many images as you would like, up to the limit of your account level. 

However, if you are intending to display the collection on your website, as a portfolio, for example, it is important to consider how many images a visitor will realistically look through.

Are there any other ways of uploading files?

There are lots of ways to upload files including HTML5 drag and drop uploader, Standard HTTP or FTP - File Transfer Protocol.

How do I delete a collection?

To delete a collection, go to My Images and click on the small bin icon on the right-hand side.

How do I delete a file?

To delete a file go to My Images and click on the collection you want to edit. Check the box on the file that you want to delete and then click the bin icon in the toolbar at the top of the page. 

I deleted a file by mistake, how do I reinstate it?

Collections and files that have been deleted are soft-deleted for 30 days.

If needed, you can recover the deleted files, within that 30 day period, by going to My Images > Delete > Recover Files. Scroll to the bottom of the page and click the link titled "You may recover (un-delete) soft-deleted files for up to 30 days".

Select the checkboxes to the right of the images you wish to recover and then click "Recover Files". 

The files will then return back to the collection they were stored in when they were deleted.

How do I change the way my images display in a collection?

To change the way your images display in a collection, go to the collection you would like to edit and select the fourth tab, titled "Display". Select the layout you would like to use for the collection in the dropdown menu, titled "Display Mode". 

To change the way your images display within a sub-collection, go to the sub-collection you would like to edit and select the fourth tab, titled "Display". Uncheck the box, titled "Inherit all slideshow settings from higher-level collection". You can then select the desired layout from the dropdown menu, titled "Display Mode".
